Valleywide H&I Literature Report December 2015

In being allowed to coordinate literature for Valleywide Hospitals and Institutions Committee of Alcoholics Anonymous some things have occurred to me that might only be noticed through this capacity. Instead of keeping these things only to myself and the others who have preceded and/ or will follow me I am offering the following for your consideration. Please take into consideration that some of this will involve my opinion.

Large Print Big Books (Abridged) – We spent just under $2000 on 400 Large Print Abridged Big Books in September of 2014. The use for these books is for people who are confined without the use of corrective eyewear. With that in mind I have limited the distribution to each coordinator to one or one-half a case per request with an accompanying reminder of the intended purpose of the books. Coordinators have been respecting this as noted by the number of them still in stock; 110.

Arizona Meeting List – Depending on how a person looks at it there can easily be an interesting discussion as to what is more important to get into the hands of a person who may not spend their entire life in a treatment center or prison; a Big Book or a Meeting List. So as to not argue, I have been operating as though they are of equal importance. The original reason I started purchasing the Arizona Area 03 Meeting Directory was due to a lack of availability of Phoenix Valleywide AA Meeting Lists. After obtaining the lists that had all of Arizona’s meetings in it I realized that these made more sense to go into jails and prisons because people get sent to prisons away from where they live. But then it occurred to me that there are plenty of people, too, who come to the big city of Phoenix to attend treatment because there are no treatment centers in their own town. They will need an Arizona Directory. And most of the Valleywide H&I Coordinators only request the ones specific to the Phoenix Area. Unfortunately, I have noticed that a majority of AAs have not even heard of the Arizona Area Directory. There have been many times I’ve been outside of the Valley and called the AA Meeting Hotlines only to get a person who does not even know there is a list with all of Arizona’s Meetings listed.

Spanish Literature in Treatment – Over the two year rotation I have not given out any Spanish literature to any Coordinators other than those involved with Jails and Prisons.

Holding Multiple Positions – It is my belief that Valleywide H&I should consider not allowing people to hold more than one service position on the Committee. Holding multiple positions will take away the opportunity for someone else to be of service. The best way to get a position filled is if there is no one holding it. ie; If you want someone to step up and do the service you’ve been doing, just step down; someone will step up! (ps – Being a Past Chair is not an official current service position in this Committee.)

Steering Committee – Almost two years have passed since the Steering Committee was established. When they were first meeting it was announced that anyone could attend. During those early stages the Group Conscience decisions were made by those who were present. Originally, if Valleywide H&I Coordinators would have attended they would have been given a vote. Sadly, the only Valleywide H&I Coordinator who showed up to the meetings was a Past Chairperson who also had an official Coordinator position. It seems to me; that with no Coordinators available to help – the committee is limited. It is my hope that there will be coordinators, in the future, who will take the time out of their busy schedule to attend the Steering Committee Monthly Meeting which is open to all AA Members. I hope that if they can show the willingness to attend the meeting then the Steering Committee Members would adjust the rules of who is a voting member to allow their participation. This fresh blood might even prompt the Steering Committee to begin producing the Minutes of their meeting for our perusal.

But I have been having the coordinators sign a receipt for the books they receive and these records can be reviewed by any regular member of Alcoholics Anonymous upon request.

As this is the end of my 2 year rotation I am going to add an additional report with supplemental information that, to me, is of note.

The General Service Conference approved literature we purchase with money donated by members of Alcoholics Anonymous is dispersed to the various Valleywide H&I Coordinators to distribute to the various hospitals, treatment centers, jails, and prisons throughout the Valley to confined alcoholics. If you chair an Alcoholics Anonymous meeting in a hospital or institution where the attendees are confined you will coordinate with your respective coordinator to get books inside.

Used and new Grapevine issues can be donated by homegroups and will go to confined alcoholics. Non-General Service Conference Approved Literature will not be distributed by this committee in keeping with the Traditions.

Currently, we make a literature order every 2 months and distribute up to 1/2 of in stock literature each month over a 2 month period in an attempt to ensure literature will be available for distribution to the Valleywide H&I Coordinators each month. For November and December we spent $9,995.20 purchasing literature from the General Service Office in New York.

 

After distribution to the coordinators last month we had this left over in stock;

3 case of Big Books, 2 cases of Spanish Big Books, 2-1/2 cases of Pocket Abridged Big Books, 1/2 case of Pocket 12X12s, 2 cases of Spanish Pocket 12X12s, 5-1/2 cases of Large Print Abridged Big Books, and 18 cases of AA in Prison.

 

This month, from GSO, we ordered 66 cases of literature; 46 cases of Big Books,

10 cases of Pocket Abridged Big Books, and 10 cases of Spanish Big Books:

After explaining the following concept to many people I have realized the need for a blanket statement available to all members of Alcoholics Anonymous;

Literature requests are subject to the availability of funds to purchase said literature. Both the treasury and literature details are available thru our respective monthly reports. Until such time as the requests are met or exceeded by incoming donations, the literature will be divided fairly within the whole to ensure everyone has access to the most relevant literature for their group within the available budget. Should you have a request for specific literature other than English or Spanish Big Books it would be helpful to realize that it may not be honored as only Big Books may be guaranteed during any two month literature order period.

Last month the Valleywide H&I Steering Committee has requested an additional form to be maintained through the cooperation of the various coordinators in order to track exactly where the literature is going. The new literature tracking form was sent home with them to fill out during the month and turn at the next meeting. Additionally, they were provided with an electronic copy. We are interested in being able to account for where the books are going. After they are turned in for this past month I will attempt to compile the information into some useful form.

In this literature order I bought some books that had been being requested by the coordinators over the last few months. I may consider the possibility, in the future, in getting some large print Big Books for the confined alcoholic who does not have accessibility to corrective eyewear in the hospital or institution they are being housed. There is $1.31 decrease in price from the Big Books we are currently providing. If your homegroup has any input on this please let me know.

The General Service Conference approved literature organized into piles at the back of the room is for the various Valleywide H&I Coordinators to distribute to the various hospitals, treatment centers, jails, and prisons throughout the Valley to the confined Alcoholics. If you chair an Alcoholics Anonymous meeting in a hospital or institution where the attendees cannot get out to a regular meeting of Alcoholics Anonymous you will coordinate with your respective coordinator to get books inside.

Used and new Grapevine issues can be donated by homegroups and will go to confined alcoholics.

I will make literature orders every 2 months and distribute up to 1/2 of the literature available in an attempt to ensure literature will be available for distribution to the Valleywide H&I Coordinators each month. Last month we spent $13976.40 purchasing books from the General Service Office in New York (GSO).

We got 114 cases of books. 74 cases of Big Books, 30 cases of 12X12s, 10 cases of small Big Books:

For this month we spent 400 on meeting lists from SRI and 375 on meeting lists from Arizona Area. The Arizona meeting lists may be helpful to those in prisons or treatment centers that will be going to places other than the greater Phoenix area.

Last month the coordinators helped by signing for the books they picked up. Basically, they signed a receipt. We will continue this form of accountability. This month the Valleywide H&I Steering Committee has requested an additional form to be maintained through the cooperation of the various coordinators in order to track exactly where the literature is going. This month I will having the various coordinators who receive books fill out a form that confirms how many books they asked for and how many they received. Also, I hope to coordinate with the Literature person that was on the Valleywide H&I Inventory Ad-hoc Committee to implement a form that he has made that will track where the books went into, precisely. Eventually, the Valleywide H&I Steering Committee may request these forms to be maintained through the cooperation of the various coordinators in order to better serve AA as a whole. Assistance will be made available in filling out the forms.
